Booking & payment

How do I get pricing for my event?

Pricing varies by rental item, date, location and service needs. Start with the online quote form and include your event date, venue, expected guest count and the equipment you are considering.

When should I book my rental items?

Please book rentals that must be staked, such as tents and inflatables, at least two weeks in advance so we can schedule the required Virginia 811 utility marking. For large items, tents and peak-season dates, we recommend booking two to four months in advance. Smaller rental items can often be reserved with two weeks’ notice, subject to availability.

How much is the down payment?

A 50% non-refundable down payment is required to reserve your event date and equipment.

What happens to my down payment if I cancel or reschedule?

Your 50% down payment is non-refundable, but it may be transferred to another available rental item or event date, subject to availability.

When is the final payment due?

The remaining balance is due no later than three days before your event, unless a different due date is stated on your invoice.

What forms of payment do you accept?

Party People Rentals accepts major credit cards, checks, money orders and Cash App. We do not accept cash. Your quote or rental agreement will show the payment instructions for your order.

Is sales tax included?

Sales tax is based on the applicable jurisdiction. Tax-exempt organizations should provide the required exemption documentation so the team can review it for the order.

Rental periods, delivery & pickup

How long can I keep my rentals?

Most tables, tents, chairs and small games are weekend rentals, typically kept from Friday through Monday. Large inflatables and other delivered items that cannot remain for the weekend are generally same-day rentals. The exact rental period for each item will be shown on your invoice.

Do you charge a daily rental rate?

No. Some rentals are priced by the hour, but most are priced as weekend rentals. Your quote will show the rate and rental period for each item.

Do you deliver and set up rentals?

Delivery and setup are available for many rentals and events. Availability and fees depend on the equipment, location, site access, timing and order details.

Can I pick up my rental?

Selected items may be available for customer pickup. Ask the team to confirm whether pickup is appropriate for the equipment in your order.

What are your customer pickup and return hours?

Customer pickup and return appointments are available Monday and Friday from 9:30 a.m. to 4:30 p.m.

What time should I expect delivery and pickup?

Standard delivery and pickup may take place anytime between 8:00 a.m. and 6:00 p.m. If you need a time-sensitive or exact-time delivery, an additional fee applies and the confirmed timing will be stated on your invoice.

Are you open on weekends?

Weekend service is limited to phone calls and previously scheduled deliveries.

Do I need to tip the crew?

Tipping is optional and always appreciated, but it is not required.

Use, weather & care policies

What happens if rain, severe weather or high winds are expected?

Inflatables and outdoor setups may need to be canceled or rescheduled when severe weather or high winds create unsafe conditions. Weather-related decisions follow safety requirements and the terms of your rental agreement.

How are rentals cleaned between events?

Linens and tableware are laundered and sanitized by the supplier. Inflatables are disinfected after every use.

Who is responsible for damaged or missing items?

Customers are responsible for rental items that are missing or damaged during the rental period, including damage such as cigarette burns on linens or broken glassware. Any applicable charges will follow the terms of the rental agreement.

What are the inflatables made from?

The inflatables are made with lead-free vinyl.

Does an inflatable require adult supervision?

Yes. A responsible adult must supervise inflatable use and enforce the operating rules throughout the rental period.

What power and setup surface do inflatables require?

Power, outlet placement, circuit requirements and acceptable setup surfaces vary by unit. Confirm the specific requirements for the selected inflatable and keep the setup area clear and accessible.

What should I know about water-inflatable safety?

Follow the instructions for the selected unit, provide active adult supervision and make sure riders follow the posted rules. Ask the team about water access, drainage and surface requirements before the event.
