Large group events work best when the rental plan supports how people enter, gather, participate and leave. Venue rules, surface conditions, power access and supervision all affect equipment choices.
- Activity zones: match inflatables and games to ages, attendance and available space.
- Program areas: plan stage height, sound coverage, seating and sight lines.
- Weather support: consider tents, generators and climate-control options where appropriate.
- Operations: identify delivery access, utility markings, security, crowd flow and pickup timing.

School and community event rental FAQs
Your quote and invoice confirm the equipment, delivery, setup and policies for the event.
How early should our organization reserve rentals?
Book large items, tents and peak-season dates about 2 to 4 months in advance when possible. Smaller equipment can often be reserved about 2 weeks prior, subject to availability. Staked rentals such as many tents and inflatables need at least 2 weeks so required utility marking through 811 can be scheduled.
What happens if severe weather is forecast?
Inflatables and outdoor setups may need to be canceled or rescheduled when severe weather or high winds threaten safety. Contact the team as early as possible to review the options available for your order.
What time will delivery and pickup occur?
Standard delivery routes operate throughout the day, generally between 8:00 a.m. and 6:00 p.m. Time-sensitive or exact-time delivery may be available for an added fee and must be stated on the invoice.
What payment is required to reserve the date?
A 50% non-refundable down payment secures the date and equipment. It may be transferred to other available rentals or dates, subject to availability and invoice terms. Final payment is generally due 3 days before the event.
Who is responsible for missing or damaged items?
The customer or renting organization is responsible for missing or damaged items during the rental period. Review the invoice and rental agreement with staff and event partners before the event.
